Privacy policy
Last updated: 3 November 2026
This policy explains how South West Web Design collects and uses personal information when you visit this website, contact us or use our services. We keep data collection to what we need to respond to enquiries and run our business.
Who we are
South West Web Design is a web design and hosting business based in Cheltenham, Gloucestershire. For the purposes of UK data protection law, we are the controller of the personal information described in this policy.
If you have a question about this policy or your data, email sales@southwestweb.co.uk.
Information we collect
We may collect the following information:
- Enquiry details. Your name, email address, phone number, business name, service of interest, budget, current website address and message when you contact us by email, WhatsApp or the contact form.
- Client and project information. Details needed to provide a quote or deliver a website, including billing and domain information.
- Technical information. Standard server logs may record your IP address, browser type, referring page and the time of your visit.
The contact form on this website is processed by Web3Forms, a third-party form service. When you submit the form, your details are sent to Web3Forms and forwarded to our business email address. Web3Forms processes the submission on our behalf, and its own privacy policy applies to that processing. We do not store form submissions on this website itself. Submitting the form takes you to Web3Forms’ confirmation page.
How we use information
We use personal information to:
- Respond to your enquiry and provide a quote;
- deliver, manage and support the services you have asked for;
- keep business and accounting records;
- send service updates and information about your website or hosting;
- improve our website and understand which pages are useful.
Our lawful bases are usually your consent, the performance of a contract with you, or our legitimate interests in running and improving our business. We do not sell, rent or lease email addresses or other personal information to third parties.
When we share information
We only share information where it is needed, for example with:
- hosting, email and IT providers who operate our infrastructure;
- Web3Forms, our contact form provider, which processes form submissions and forwards them to our email;
- domain registrars and payment providers;
- professional advisers, such as accountants, where required;
- law enforcement or regulators where we are legally obliged to do so.
Some providers may process data outside the UK. Where that happens, we rely on appropriate safeguards such as the UK’s adequacy regulations or standard contractual clauses.
Cookies
This website does not use advertising, tracking or analytics cookies. It does not embed third-party content that sets cookies when the page loads.
Links to WhatsApp, Instagram and Facebook open those services in a separate tab. Once you visit them, their own privacy and cookie policies apply. Your browser may also store basic preferences, such as form autofill, in the usual way.
You can block or delete cookies in your browser settings. Blocking them should not prevent you from using the main content of this site.
How long we keep data
We keep enquiry emails for as long as needed to deal with the enquiry and for a reasonable period afterwards. If you become a client, we keep project and billing records for the period required for accounting and legal purposes. When information is no longer needed, we delete or anonymise it.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete information in certain circumstances;
- restrict or object to how we use your information;
- ask for your information in a portable format;
- withdraw consent where we rely on it.
To exercise any of these rights, email sales@southwestweb.co.uk. We may need to confirm your identity before responding. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
Security
This website is served over HTTPS. We use access controls, backups and monitoring on the systems we manage, and we limit access to personal information to those who need it to do their work. No system can be completely secure, but we take these protections seriously.
Changes to this policy
We may update this policy to reflect changes in our services or the law. The latest version will always appear on this page, with a revised date at the top. If a change is significant, we will tell affected clients directly.
